Media Library

Every file, with
its terms attached.

A folder tells you a file exists. Media Library keeps photos, videos and documents with the rest: whose they are, what the licence allows, when it ends and where you’ve already used them.

One library.
Different answers.

Pick a file to see what you may do with it. A photo that’s fine, a video about to expire, a PDF of your own, and a picture that arrived without a word about where it came from.

01Terms on the file

What was agreed
stays with the file.

Who made it, what the licence allows, which channels it covers and the credit it needs. Written down once, next to the file, with the agreement attached.

The person choosing a file six months later sees the same terms as the person who agreed them.

02An end date in view

A licence ends on a date.
You should see it coming.

The last day of a licence sits on the same line as the posts that use the file. A post that would run too late stands out before it is published, not after.

Planned for 2 Oct
A timeline of one licensed video. It was used in posts on 9 and 11 September. Today is 18 Sep. The licence ends on 30 September, and a post planned for 2 October falls after it.

Published with the videoPlanned after the licence ends

  1. Thirty days before

The item is marked as ending soon, while renewing is still a choice and not an emergency.

  2. On a post planned past the date

The post is flagged where you plan it, with the date the licence ends.

  3. After the last day

The item can’t be added to new posts. What is already published stays: what happens to it is your call.

03Where it has run

Where it ran.
And when.

Each time a file goes into a post, the post, the channel and the date are kept with it. You see that a clip ran last week before you reach for it again.

And when a licence ends or a client asks for something to come down, the list of posts to look at already exists.
